Work Hours: Monday to Friday (40 hours a week)

Position Overview:
The Service Admin. Coordinator plays a key role in supporting daily service operations, ensuring efficient workflow, excellent tenant relations, and timely resolution of service requests. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:
Service Line Management
• Answer and triage incoming service line calls, identifying and prioritizing tenant service needs.
• Log, categorize, and prioritize service complaints to ensure timely follow-up and resolution.

Task & Workflow Coordination
• Update, assign, and manage service tasks within the internal system.
• Monitor the status of work orders and service tickets, ensuring they are completed efficiently and accurately.
• Track task progress and follow up with technicians and contractors as needed.

Internal & External Communication
• Assist with communication and updates for small client accounts.
• Prepare and deliver issue summaries and service updates to VPs for large or high-priority clients.
• Notify technicians of scheduled work, service requests, and required follow-ups.
• Coordinate with contractors, ensuring smooth workflow and compliance with all requirements.

Administrative Support
• Assist with processing invoices and reviewing technician timesheets.
• Maintain accurate property lists, service documentation, logs, and reports.
• Verify and maintain up-to-date WSIB and insurance documentation for all contractors.
• Support other administrative tasks as required to ensure smooth operations.

Qualifications:
• Strong organizational and time-management skills with the ability to multitask effectively.
• Excellent verbal and written communication skills.
• Ability to work in a fast-paced, service-driven environment.
• Strong problem-solving abilities and good judgment when evaluating tenant needs.
• Proficiency with office software and service management systems (training provided if needed).
• Ability to work both independently and collaboratively with technicians, contractors, and internal teams.
