The Customer Service Representative is responsible for managing the full lifecycle of customer orders while maintaining customer expectations and experience. This role ensures accurate order entry, coordination with production planning, QA release, logistics, and shipping teams, and timely communication with customers. The position acts as the primary point of contact for order processing, product availability, shipment scheduling, and issue resolution while maintaining compliance with all the internal and external regulations and requireme

Order Management & Proce

ssingManage end‑to‑end order processing from order receipt to final del
iveryEnter and validate customer orders in ERP systems (e.g., SAP, Oracle, JD Edwa
rds).Confirm product availability, batch release status, and lead times with planning an
d QA.Coordinate with production, warehousing, and logistics to ensure on‑time fulfill
ment.Prepare and verify required documentation (COAs, packing lists, invoices, SDS, customs docume
nts).Track shipments and proactively communicate delays or cha

 

nges.
Customer Communication & S

upportServe as the primary contact for customer inquiries, order status updates, and issue resol
ution.Maintain strong relationships with pharmaceutical clients, distributors, and contract par
tners.Handle complaints, returns, and deviations in collaboration with QA and Quality Sy
stems.Provide product information, pricing confirmation, and delivery sche

 

dules.
Compliance & Docume

ntationEnsure all order‑related activities comply with GMP, GDP, ISO standards, and interna
l SOPs.Maintain accurate and audit‑ready records in ERP and CRM s
ystems.Support internal and external audits by providing documentation and process d
etails.Follow controlled document procedures for COAs, batch records, and regulatory pap

Cross‑Functional Colla

borationWork closely with Production Planning, QA/QC, Regulatory Affairs, Logistics, and
Finance.Participate in S&OP discussions related to customer demand and inventory p
lanning.Support continuous improvement initiatives in order management and customer exp

 

erience.
Req

uirement:Post secondary education in business administration or a relat
ed field.2–5 years of customer service or order management experience in pharmaceutical, biotech, or regulated manuf
acturing.1+ years’ experience with end-to-end order pr
ocessing.Previous experience with data entry, preparing quotes/invoices and customer orders is
required.Effective communication skills (both verbal and written) is
required.Advanced Excel experience i
s a must.Previous experience using QuickBooks, SalesForce and other ERPs i
