Mandatory:

High School Diploma/GED.

Work experience creating and using advanced Excel skills such as Pivot table, VLOOKUP etc.

Experience working in a role that demonstrates customer service skills with clients, either in person or call Centre: Answer phone calls, responding to email enquiries, provide applicants and the public with the appropriate documents and refer callers to the appropriate areas, and forward email packages.

Relevant work experience and experience with Microsoft Office.

Nice to Have:

Relevant post-secondary education in the area of office administration. Acceptable education includes degrees, diplomas and certificates (in years)

Experience with Business Intelligence analytical tools such as, Excel PowerPivot, Cognos Cubes, and Microsoft PowerBI.

Experience with organizing business events, coordinating meetings and book rooms as required.

Experience with paper and electronic filing system (Prolaw or similar)

Experience with Records Management/Document Management Software.

Relevant experience in a role similar to this. Experience must be applicable to this role.

We are looking to find an administrative Assistant to support a team of Child Care Connect Licensing Officers and Supervisors in Calgary, to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs, and managing various administrative activities.

 

Duties will include the following but are not limited to:

• Proofing and formatting word documents.

• Record and track information in Excel and create Pivot Tables.

• Answer phone calls, responding to email enquiries, provide applicants and the public with the appropriate documents and refer callers to the appropriate areas, and forward email packages.

• Create documents and memos as required.

• Data Entry of information into tracker and computer system.

• Organize events, coordinate meetings through Teams.

• Copy, scan, file and perform records management of physical and digital documents.

• Act as a point of contact for any clients.

• Take meeting minutes.

• Register applicant for workshop sessions.

• Issue Receipts.

• Transcribe phone voicemails messages into tracking systems.

• Triage phone calls when the new phone system is in place.

Equipment requirements:

• Equipment will be provided by the Government of Alberta

 

The workplace will supply, equipment such as computers, software, printers, supplies, desk, chair and all necessary access and credentials to the Government of Alberta’s System.

 

As this is an onsite position the workplace will supply all required office space and equipment, including computers, software printers’ office supplies desk, chairs and the necessary access and credentials for the Government of Alberta System.

 

• Working Hours: The work schedule will be full-time, Standard Hours of work are 08:15-16:30 Alberta time, Monday through Friday except for provincial holidays.

 

• Parking: Successful candidates will be responsible for their own parking. Public Transit is available in all locations. Some locations have paid public parking options.
