About the Role
Looking for a Facilities Maintenance Coordinator to support a facilities team in managing vendor information, coordinating contractors, and processing invoices across multiple retail properties. You’ll liaise with vendors (electrical, roofing, general building maintenance), dispatch contractors to sites, and ensure accurate, timely updates while keeping day-to-day operations running smoothly.
Key Responsibilities
✅ Enter and maintain vendor information in Laserfiche
✅ Coordinate and dispatch contractors for building maintenance/repairs
✅ Liaise with vendors for updates, status reports, and service standards
✅ Track, organize, and process invoices for multiple properties
✅ Monitor vendor performance and escalate risks or delays
✅ Communicate updates to internal teams and support high-volume admin tasks
Qualifications:
🔹 3+ years of administrative experience in an office environment
🔹 Experience with facilities/vendor coordination, contractor management, or invoice processing (asset)
🔹 Proficiency in Microsoft Office Suite; Laserfiche experience is a plus
🔹 Strong written and verbal communication skills
🔹 Highly organized, detail-oriented, and adaptable in fast-paced settings
🔹 Customer service–oriented with strong problem-solving skills
