Mandatory:

 

Post secondary education in a related field or equivalent work experience and education (e.g. Any Post secondary education would need to be obtained within Canada or have a Canadian equivalency granted for that post secondary education requirement. As well, the e.g Certificate in Project Management example being used on the requirement is simply an example of a type of post secondary education, and to reiterate any type of post secondary education, diploma, certificate in any field would essentially meet this Must Have requirement as indicated above.)

 

Demonstrated experience with MS office suite (Excel, Word, PowerPoint, Outlook)

Experience using SharePoint online

Experience working independently and in a team/group environment.

Relevant experience in a role similar to this. Experience must be applicable to this role.

 

Nice to Have

 

Education

Yes/No – Records and archive management education. Records and archive management education.

Experience with file maintenance (creation of new file structures, volumes, enclosures, labels).

Experience with the Classification of Records.

Experience working in document imaging, extraction, optical character recognition, and classification

Experience working on multiple tasks or initiatives with strict timelines, simultaneously.

Experience working with information management policies, directives, and guidelines.

 

Project Name: Digital Services – Digitization of Physical Records and File Management Support

Job Title: Records Coordinator

 

Scope:

Active File Management (AFM) provides digitization services and file management support, such as records indexing, sorting, filing and boxing across departments in the Government of Alberta (GoA) as part of the Technology and Innovation mandate to increase the availability of digital government services. To expedite the digital strategy, AFM needs to hire resources for digitization initiatives and other file management support across the departments wherein the project timeline varies depending on the volume of the records.

 

 

 

 

Duties:

• Applying file classification structure and retention schedules to records

• Records inventory / inputting data into spreadsheets or other templates using data entry tools

• Indexing, sorting, filing and boxing of paper records

• Verifying accuracy and completeness of data

• Scanning and sorting file documents according to established guidelines

• Lifting of up to 30 lbs. of weight of boxed records

• Familiarization with Microsoft applications such as but not limited to MS Excel, MS Outlook, MS Word

• Other duties as required.

 

 

 

Working Hours:

• Standard Hours of work are 08:15 – 16:30 Alberta time, Monday through Friday excluding holidays observed by the Province.

 

Notes on Location:

• The expectation will be for the resource to work from the office from Monday to Friday.
